Executive Assistant
The Executive Assistant is responsible for providing administrative, secretarial and clerical support to the Administrator.
Key job results include appointments, researched information, arranged meeting facility, complete documentation and efficient filing system, classified information kept confidential, and efficient operation of the office of the Administrator.
Duties and Responsibilities
- Reviews, organizes, and prioritizes correspondence and work activities.
- Screens calls/visitors and responds to them or refer calls/visitors to appropriate staff member.
- Composes, types or edits communication, memos, letters, and other documents.
- Disseminates information through communication, mail, email, telephone.
- Processes routine and special documents.
- Schedules appointments and meetings and prepares agenda/materials, meeting facility, and other requirements.
- Maintains calendars for the office of the Administrator.
- Attends meetings and takes down minutes as instructed by the immediate superior.
- Researches and responds to request for information.
- Maintains for the use of the Administrator, up-to-date management manuals, policies/directives, organizational charts and keeps the executive informed of changes.
- Organizes and coordinates travel requirements of immediate superior and other officers.
- Maintains and updates files of classified information/confidential documents, correspondence and reports available for reference and efficient operation of the office.
- Ensures cleanliness and safety of the premises at all times.
- Ensures availability of office supplies and equipment.
- Ensures that communications are received by superior on time and delivers communications to other departments.
- Assists superiors in preparing department’s annual report.
- Assists in the preparation of materials and coordinates schedule for accreditation of hospital.
- Coordinates/conducts or follow-ups with other departments on matters assigned by the superior.
- Keeps all confidential documents of the department in accordance with the institution’s policies and in strict compliance with the Data Privacy Policy.
- Submits within 24 Hours Incident Report on any event that poses danger to the patients, staff and to the Hospital as a whole
- Performs other related functions assigned by superior.
Minimum Qualifications:
- Graduate of any four-year course
- With 2 years related work experience; computer literate
